What Is An ISO IT Business Management System?

Qualitation is always looking for additional tools that help its customers facilitate their daily business activities.

What is an ISO IT Business Management System?

If you'd Like to know even more, please read this document: How To Become A World Class Business

These are computerised systems that take over the day to day management of many aspects of running the ISO systems in an organisation and even the ongoing management of the organisation itself. This is possible because the activities that have to take place are often repetitive, programmable (once certain parameters are known) and thus capable of being automated.

These systems have existed for many years, but the more recent versions are both more adaptable, more capable and easier to use while being cheaper and reliable at the same time.

Qualitation is pleased to announce that it is now agent to several different companies selling ISO IT Systems designed to take the hassle from staff while ensuring a more comprehensive and trackable result.

Benefits of utilising Automated IT Systems:

They Free Up Staff Time

By automating the mundane and repetitive administrative actions, staff no longer have to undertake these time consuming and mind numbing tasks.

Automated IT Systems Are Faster & More Efficient

Even the best staff can make mistakes – especially when the task is uninspiring and there is much else to be done. The computerised systems are quicker and more accurate.

Records Are More Accurate

As the actions are tracked by the IT systems they recorded as they occur. This means that the versions on record are exactly what has been undertaken – no more and no less.

Full Traceability For Audits

Automated tracking means that each step that has been taken can be reconstituted after the fact – thus supplying all the back tracking records that an auditor could ever want – all on tap.

Reduce Staff Costs

While automation could potentially mean that fewer staff are needed over all, this is not the point being made here. For ever staff hour not spent working on systems administration, that person can be working on other (potentially profitable) activities – thus achieving more for the same number of staff.

Increase Monies Earned By Freed Up Staff

With staff now having time freed in their day, they can carry out other roles that will generate additional funds and/or work on other tasks that will eventually reduce overall costs.

Using Existing Procedures To Minimise Downtime

We help you to upload the procedures you are already using into the systems. These become the basis for what is then passed to the automated facility to take over. This reduces downtime and minimises the need to learn new approaches.

Micro v SME v Enterprise

The different systems available can be purposed and adapted to match the needs of Micro organisations (<10 people), SMEs (10-500 people) and/or Enterprise level (50-‘000s of people). The internal systems and controls would be adapted to match the needs.

Advice & Technical Support A Call Away

Each of the IT Systems we support has local based staff and expertise on tap.

Wide Range Of Existing Clientele

Each of the IT Systems we support has a wide range of clients of different sizes, in different markets and different needs – all satisfied.

Qualitation is able to offer three alternative IT systems that can address the differing needs or organisations in their different evolutionary stages of development.  The following table shows the coverage supplied by each IT system but does not take account of the flexibility or costs involved.

There are many tasks that have to be carried out, but where possible, these should be passed to an automated system so that they can be carried out automatically. There are tasks that are perfect for this sort of treatment: periodic, statement (rather than opinion) related (eg. An alert to tell someone to do something).

Automatic Administration takes the administrative bureaucracy out of managing your ISO Standards in a number of different areas:

  • Document Control & Authorisation Process
  • Internal Audit Control Process
  • Staff Training Control and Virtual Training Process

Automated Oversight allows Management BY Exception monitoring which not only saves time but allows for more complex and frequent observation of indicators:

  • Key Performances Indicator Monitoring Process
  • Board Goal Attainment Monitoring Process

Documentation has to be carefully controlled at several stages – when it is created, when it is distributed, when it is altered and when it is recalled/stored for historic reference.
At each of these points in its existence, the ISO IT Systems can take on tasks that would otherwise have to be handled by humans – taking their focus away from their profit-generating work and diverting it to mundane (but vitally important) bureaucracy.

When this is carried out manually, every step shown has to be completed by hand (red).

Where the automated systems are engaged, only the red shaded steps are completed by hand, and the remaining green steps are automatically carried out by the systems.

Internal audits are part of the key procedures required by the ISO Standards.  As such they must be completed in full covering all procedures over the period in question.  Thus a schedule of audits is created to control this.  However many of the activities in question relate to advising people that they now need to do something, or filing something that has been done – and so can be left to the computer.
